NOTICE IS HEREBY GIVEN OF THE ANNUAL GENERAL MEETING

OF

WYONG MUSICAL THEATRE COMPANY INC.

TO BE HELD ON

THURSDAY 17 OCTOBER 2024

IN

THE WYONG GROVE THEATRE 1 NORTH RD WYONG AT 6.30PM


Attendance and Voting at the AGM

Only Life Members and Senior Financial Members are entitled to attend the meeting and vote.

To attend and vote, you must complete a membership form and pay the fee in full by 12 September 2024. New membership applications received after this date will be processed but will not grant eligibility to attend the AGM or vote.

Membership applications must be completed on membership forms, which can be downloaded here. Upon completion, they are to be forwarded to the Secretary via email by 12 September 2024 to allow for proper constitutional review by the Committee.

Any Financial or Life Member wishing to raise an issue or put forward a motion may do so prior to the meeting in writing to the Secretary via email by Thursday, 10 October 2024.

Nominations for Committee positions close at 5:00 PM on Thursday, 10 October 2024.

Nomination forms for Committee positions can be downloaded here.

Nominations must be submitted on the approved form and must be nominated and seconded by two financial members. Committee nominations will be posted on the Facebook Members page and the WMTC website until the meeting.

Committee Roles and Responsibilities

These are general descriptions below. Each role also fulfills other tasks unique to WMTC, ensuring shows are staged in a safe and financially viable manner, and The Wyong Grove property and assets remain functional and well-maintained. Additionally, departments are coordinated effectively, and relationships with other dramatic societies are well managed, among many other responsibilities.


President

The President is responsible for providing leadership and direction. Key duties include:

  • Acting as the spokesperson for the company.

  • Ensuring governance and compliance with regulations.

  • Preparing agendas and chairing committee meetings.

  • Overseeing the implementation of plans and goals.

  • Ensuring member equity.


Vice-President

The Vice-President supports the President and steps in when the President is unavailable. Responsibilities include:

  • Assisting in the organisation’s activities and events.

  • Running meetings in the President’s absence.

  • Contributing to strategic planning and decision-making,

 

Secretary and Public Officer

The Secretary is crucial for maintaining the organization’s records and ensuring effective communication. Key duties include:

  • Organising and minuting meetings.

  • Maintaining administration and governance records.

  • Upholding legal requirements and ensuring compliance as the Public Officer.

  • Maintaining correspondence and adhoc administrative tasks.

 

Treasurer

The Treasurer oversees the financial management of the company. Responsibilities include:

  • Managing budgets, accounts, and financial statements.

  • Advising on financial planning and fundraising strategies.

  • Ensuring compliance with financial regulations.

 

Floor Member

Floor Members support the committee by participating in meetings and contributing to discussions. Their responsibilities include:

  • Attending and actively participating in meetings.

  • Currently our floor members look after publicity, choir coordination, ticketing, theatre coordination and technology.
